The Fleet Manager’s Assistant supports the Fleet Manager in overseeing the maintenance, operation, and performance of the company’s vehicle fleet. The assistant helps manage vehicle records, schedules repairs and maintenance, ensures compliance with safety regulations, and provides administrative support to ensure smooth fleet operations.
Key Responsibilities:

  • Administrative Support: Maintain accurate records of all fleet vehicles, including registration, insurance, and maintenance schedules.
  • Maintenance Coordination: Schedule and track regular vehicle maintenance, including oil changes, inspections, and repairs.
  • Vehicle Tracking: Monitor vehicle usage, including mileage, fuel consumption, and other relevant metrics.
  • Compliance Management: Ensure fleet vehicles comply with safety regulations and industry standards.
  • Vendor Relations: Communicate with service providers, including mechanics, suppliers, and fuel vendors.
  • Fleet Reports: Prepare and assist in generating reports on fleet performance, fuel efficiency, costs, and utilization.
  • Inventory Management: Track fleet-related supplies such as vehicle parts, fuel, and equipment.
  • Assist with Budgeting: Help track fleet-related expenses and assist in budgeting for future purchases, repairs, and upgrades.
  • Support the Fleet Manager: Provide general administrative support to the Fleet Manager, including scheduling meetings, preparing documents, and handling correspondence.
  • Driver Support: Assist drivers with inquiries, vehicle issues, and scheduling concerns.

Qualifications:

  • High school diploma or equivalent (Associate’s degree in logistics, business, or a related field preferred).
  • Experience in fleet management, logistics, or a related administrative role is a plus.
  • Strong organizational and multitasking skills.
  • Excellent communication skills, both written and verbal.
  • Basic knowledge of vehicle maintenance and operation.
  • Proficiency in Microsoft Office Suite and fleet management software.
  • Ability to handle sensitive information and maintain confidentiality.
  • Clean driving record
