Job Title: Assistant Project Manager – Outside Electrical Construction

Position Summary:

The Assistant Project Manager supports the successful execution of outside electrical construction projects by coordinating administrative functions, tracking project documentation, and assisting the Project Manager and field team with scheduling, reporting, and compliance. This role ensures the smooth flow of information between the office, field crews, clients, vendors, and subcontractors.

Key Responsibilities:

Assist Project Managers with daily administrative tasks related to active construction projects
Prepare, maintain, and organize project documentation including contracts, change orders, RFIs, submittals, and job packets
Track and manage project schedules, procurement timelines, and work progress reports
Ensure proper documentation and recordkeeping in both digital (shared drive/project management software) and physical formats
Maintain accurate employee and subcontractor time records, equipment logs, and material delivery records
Coordinate and schedule project meetings, prepare agendas, and distribute meeting minutes
Assist with preparation and submission of permits, safety meetings, safety documentation, and compliance reports
Support job cost tracking and assist with invoice processing and reconciliation
Communicate professionally with clients, vendors, utility companies, and inspectors
Collaborate closely with field crews to support operational needs and resolve administrative issues
Maintain confidentiality of sensitive employee and project-related information

Qualifications:

High school diploma or equivalent required; Associate’s or Bachelor’s degree in Construction Management, Business Administration, or a related field preferred
2+ years of administrative experience in construction or a similar industry, preferably in electrical or utility construction
Strong organizational skills and attention to detail
Proficient in Microsoft Office Suite (Word, Excel, Outlook) and project management software (e.g., Procore, Viewpoint, or similar)
Ability to prioritize tasks and work independently in a fast-paced environment
Strong written and verbal communication skills
Familiarity with outside electrical construction processes, terminology, and safety protocols is a plus

Working Conditions:

Primarily office-based with occasional visits to job sites
May require extended hours during critical project phases
Must be able to handle a variety of administrative tasks under time-sensitive conditions
